Project Coordinator (Luxury Custom Homes)

Olson Defendorf Custom Homes is a boutique luxury custom home builder in Austin. We build true one-off custom homes (no spec builds), and we're known for a laid-back, collaborative culture where people actually enjoy working together. This Project Coordinator role is designed to take critical coordination work off the owner's plate and keep projects moving smoothly, especially client follow-up, selections, workflow tracking, and closeout. You'll manage "a lot of steps" and stay on top of deadlines, approvals, and communication with clients, interior designers, and the internal team. The work is straightforward, but it requires confidence, follow-through, and strong organization.


Key responsibilities

  • Prep contract documents/PCS agreements, send via DocuSign, and manage "Game Plan" workflow tasks & follow-ups
  • Drive the selections schedule with clients, coordinate with the interior designer, manage due dates tied to the build schedule, support quality review of selections with the team, upload selections for client approval, and proactively email/call to keep decisions moving
  • Communicate through the Daily Log and upload/update/manage all selections accurately and on time
  • Maintain strong client communication/relationship and interior designer communication/relationship
  • Post-construction, continue "Game Plan" workflow follow-up, coordinate closing gifts, and manage the 10-month reminder follow-up
  • Meeting prep (engaged/no phone), timely email responses, consistent task completion, ask for help when needed, submit expense reports on time, and support onboarding follow-up
  • Positive attitude, strong personal appearance, and healthy team-member relationships


Qualifications:

  • Confident communicator (phone + email) who can professionally follow up with high-net-worth clients and keep projects moving
  • Highly organized and detail-driven; comfortable managing many parallel tasks and deadlines
  • Experience in project coordination/administration (construction, design/build, architecture, real estate, high-end services) is a plus
  • Comfortable working inside systems like Buildertrend/Build Track (or learning quickly) and handling document workflows (e.g., DocuSign)
  • Team-oriented: collaborative, steady, coachable, and not "my way or the highway."

Pay and benefits:

  • Full-time, W-2 Employment
  • Pay: $60,000 to $75,000 annually, based on experience, with room to grow as you take on more ownership (potential to increase over time)
